Playgroup Conference – Exhibitor Terms and Conditions
1. Application and Acceptance
Exhibitor applications are subject to approval by Playgroup Victoria.
Submission of an application does not guarantee a place at the conference.
Confirmation of participation will be provided in writing and is only valid upon receipt of full payment.
2. Payment
Full payment must be received by the due date indicated on the invoice.
Failure to make payment may result in the forfeiture of the exhibitor space.
3. Cancellations and Refunds
Cancellations must be made in writing.
Cancellations received more than 30 days before the event will receive a 50% refund.
No refunds will be issued for cancellations made within 30 days of the event.
Playgroup Victoria reserves the right to cancel the event and will refund fees paid by exhibitors if this occurs.
4. Use of Space
Exhibitors must only promote products, services, or causes aligned with the values and mission of Playgroup Victoria.
Exhibitors must not sublet or share their space without prior written approval.
Setup and pack-down must occur during designated times.
5. Stall Presentation
Exhibitors must ensure their space is professionally presented and safe for attendees.
Promotional material must remain within the confines of the allocated space.
Noise levels must be kept to a minimum to avoid disruption to other exhibitors and sessions.
6. Insurance and Liability
Exhibitors are required to hold valid public liability insurance for the duration of the event and may be asked to provide a certificate of currency.
Playgroup Victoria and the venue accept no responsibility for damage, loss or theft of goods, materials, or personal belongings.
7. Health and Safety
Exhibitors must comply with all health and safety regulations imposed by the venue and Playgroup Victoria.
All electrical equipment must be tagged and tested.
Any hazards or incidents must be immediately reported to event staff.
8. Behaviour and Conduct
Exhibitors must behave professionally and courteously at all times.
Offensive, aggressive, or inappropriate behaviour will not be tolerated and may result in removal from the event.
9. Marketing and Promotion
Playgroup Victoria may photograph or record the event for promotional purposes. Exhibitors consent to the use of their name, logo, and images of their stall for such purposes unless otherwise advised in writing.
Exhibitors must not use the Playgroup Victoria logo without express permission.
10. Force Majeure
Playgroup Victoria is not liable for delays or cancellation of the event due to circumstances beyond its control, including but not limited to acts of God, government restrictions, or natural disasters.
11. Amendments
Playgroup Victoria reserves the right to amend these terms and conditions at any time. Exhibitors will be notified of significant changes in writing.
